Tryout season offers the biggest chance for cheer gyms in Canada to grow their programs. Yet many gyms treat it as a last-minute event instead of a well-planned campaign. This approach misses out on attracting more athletes and building a strong community. To help you make the most of this critical period, here is a clear guide on how to plan and execute a successful tryout season that appeals to families and sets your gym apart.

Start with a Clear Parent Guide

Parents are the real decision-makers when it comes to enrolling their children in cheerleading programs from age 3 to probably around 18 year-old. Providing them with clear, detailed information early on builds trust and reduces uncertainty.

  • Outline what to expect at tryouts

Explain the tryout process step-by-step. Include dates, locations, and what skills or stunts athletes should prepare. Be transparent about evaluation criteria.

  • Detail skill requirements

Share the minimum skills needed for each age group or team level. This helps families assess if their child is ready and encourages them to prepare.

  • Explain what happens after tryouts

Describe how teams are formed, practice schedules, competition commitments, and costs involved. This clarity helps parents plan and budget.

Distribute this guide through multiple channels: email newsletters, your website, and social media pages. Look to top programs like Cheer Athletics for inspiration and align your information with Canadian standards.

Plan Your Digital Advertising

Digital ads are a powerful way to reach families searching for cheer gyms. If you can, start your campaigns 3 to 4 weeks before tryouts to build awareness and interest.

  • Google Ads

Target keywords like “cheer gym near me” and “cheerleading tryouts Canada.” These capture active searchers ready to find a gym.

  • Meta Ads (Facebook and Instagram)

Showcase your gym’s culture, athletes, and coaches. Use photos and videos that highlight your team spirit and professionalism.

  • Retargeting

Set up retargeting campaigns to reach website visitors and users who engage with your ads. This keeps your gym top of mind.

Early and consistent advertising ensures families have time to consider your program and ask questions before tryouts. Get in touch with an Ads Agency or reach out to our friends at TTB consulting to get supported through this step and avoid losing precious marketing dollars.

Build a Dedicated Landing Page with Email Capture

A focused landing page and email capture form helps convert interest into registrations. It should include:

  • Tryout details and dates

  • Age groups and services options (birthday parties, ninja, prep and rec classes, competitive cheerleading, travelling teams, etc.)

  • Clear registration or interest forms

  • Email capture

Collecting emails allows you to nurture leads with updates, event recaps, free events and fundraisers, promotional activations, etc.

Across Youth sports organizations and Fitness Studios, it is estimated that 30-70 will not register out of the 100 families that filled the interest form. Tracking and bettering this number is the key to a Cheer Program's Growth.

Why would a stranger register to YOUR gym?

If you can’t answer that clearly in 10 seconds, it's most probably a positioning problem.

Host a Cheer Gym Open House

Two to four weeks before tryouts, invite families to an open house. This event reduces intimidation and builds excitement.

  • Offer fun, low-pressure activities for athletes to try basic skills

  • Let parents meet coaches and ask questions

  • Showcase your gym culture and values

  • Capture emails on-site for follow-up communication

Following up within 48 hours keeps the connection warm and encourages families to register. As they're shopping around and attending multiple tryouts, they might have unanswered questions. Don't give up on them!

Cheer Québec's Transfer Policy

According to the official guidelines from Cheer Québec, switching gyms isn’t as simple as changing your mind mid-season.

From approximately October 1st to the end of May, athletes are considered “locked” into their registered club for the season, meaning they cannot switch programs unless a formal exception is approved. This rule exists to protect competitive balance and prevent any form of maraudage (tampering or poaching athletes) between gyms. Direct or indirect recruitment of athletes already registered with another club is strictly prohibited, whether initiated by coaches, athletes, or parents. Any breach of this policy can lead to disciplinary action through the federation. Exceptions are limited and typically apply only in cases such as relocation or extraordinary circumstances, and must be validated through official channels. In short, once an athlete commits for the season, the expectation is clear: the decision is final, and stability within teams is prioritized over mid-season changes.

This is why Tryouts Season and Summers (May up until September) are so crucial to Cheer Programs. They have to get this right.

Communicate Your Gym’s Values Clearly

Parents want to know what your gym stands for beyond skills and competitions. Be upfront about your:

  • Core values and team culture

  • Expectations for athletes and families

  • Safety standards and coaching philosophy

Use meetings, welcome packets or short videos to share this information. If needed, book a media session with brilliant cheer-based videographers like LMX Digital. When parents feel informed and confident, they are more likely to commit and recommend your gym to others.

Host a Cheer Gym Open House

Most gyms underdeliver here, where it's essentially your business card!

Tryouts are not just for evaluation. In your sales funnel, they are a powerful conversion event.

think of optimizing:

  • Clear flow and signage (no confusion). Have your staff wear a name tag or a t-shirt with their name on the sleeve >> Order yours through Cheer Action Now.

  • Energy (music, smiles, leadership, ice-breakers and warm-up games)

  • Staff assigned to parents (not just athletes)

  • Immediate communication after session

Parents should leave thinking: “This is organized. This is professional. This is where my kid belongs.”

Why This Approach Works

Gyms that grow successfully do more than teach cheerleading. They create a welcoming, professional experience from the first interaction. With the right and solid strategy, build trust with families and set your gym apart as a top cheer provider in Canada.

Tryout season is your chance to show what makes your gym unique. Use clear communication, advertising, a landing page and values-driven marketing videos to turn interest into registrations.
